/ Guide

From zero to your first campaign.

AiOOutreach runs cold email through the accounts you already own. This guide walks you through connecting a sender, building a campaign, setting a schedule that lands, and tracking replies. It takes about ten minutes.

01

Connect a sender

Everything starts with a sending account. In the dashboard, open Integrations and pick a provider: Mailjet, Mailgun, SendGrid, Brevo, MailerLite, or any SMTP mailbox including Outlook, Gmail and Zoho.

Each provider card shows exactly where to find your keys. For the API providers you paste an API key (Mailgun also needs its sending domain and region). For SMTP you enter host, port, username and an app password. For Outlook use smtp.office365.com on port 587; for Gmail use smtp.gmail.com on port 587 with an app password, not your login password.

The moment you connect, AiOOutreach runs a live test against the provider and marks the account verified. Your keys are encrypted at rest and never shown back to you. Connect as many senders as you like and rotate between them.

02

Create a campaign and import leads

Open Campaigns, hit New campaign, name it and choose the sender you just connected. Write your subject and email body. Any field from your lead list becomes a merge variable: write {{ name }}, {{ company }} or any column you import, and keep {{ unsubscribe_url }} in the footer so every send stays compliant.

Import your leads by pasting them one per line as name, email, or just email. AiOOutreach dedupes by email, so re-importing is safe. Send yourself a test first to see the rendered email in your own inbox before anything goes out.

03

Set the schedule and pace

This is where deliverability is won. Set the send-hour windows (for example 9am to 12pm and 4pm to 7pm), choose which weekdays to send on, and set the interval between each email and a daily cap per campaign. Pick the timezone the campaign should follow.

Turn on the weekly warm-up ramp to grow volume gradually instead of blasting from day one, and set a per-mailbox daily limit so no single account sends more than it should. When you are happy, hit Start and the drip runs on its own.

04

Track, follow up and stay clean

The Activity log shows every email your workspace has sent with its live status: sent, delivered, opened, clicked, bounced or unsubscribed. Filter by time range, sender or status, and open any mail to see the rendered email and its timeline.

Build a follow-up flow to message only the people who did not reply, cloned from your winning campaign. One-click unsubscribe and a per-workspace suppression list are handled automatically, so anyone who opts out is never emailed again.
