This Privacy Policy explains how AiOOutreach (aiooutreach.com) collects, uses and protects information when you use our cold email service. AiOOutreach lets you run outreach campaigns through email accounts you connect yourself. By using the service, you agree to the practices described here.

1. Information we collect

We collect the following categories of information when you use AiOOutreach:

  • Account information: your name, email address and a hashed password when you sign up.
  • Workspace and campaign data: the organizations, campaigns, templates, schedules and settings you create.
  • Leads you import: the contact data you upload (names, email addresses and any custom fields). You are responsible for having a lawful basis to process these contacts.
  • Connected sending accounts: the credentials (API keys or SMTP host, username and password) for the email providers you connect. These are encrypted at rest and are never shown back to you in the dashboard.
  • Delivery and event data: sending status, and the deliveries, opens, clicks, bounces and unsubscribes synced from your connected providers.
  • Usage and technical data: log data, IP address, browser type and cookies used to run and secure the service.

2. How we use your information

We use your information to:

  • Provide, operate, maintain and improve the service.
  • Send the campaigns you configure through the accounts you connect.
  • Show you delivery status, analytics and activity history.
  • Secure the service, prevent abuse and comply with our legal obligations.
  • Communicate with you about your account and important service updates.

We do not sell your personal information, and we do not use the leads you import for our own marketing.

3. Your connected sending accounts

When you connect a provider such as Mailjet, Mailgun, SendGrid, Brevo, Outlook, Gmail or a generic SMTP mailbox, its credentials are encrypted at rest and used only to send the mail you schedule and to sync delivery events.

Your email is delivered by that provider, so the provider's own privacy terms and acceptable-use policies also apply to that mail. You can disconnect a sending account at any time.

4. Cookies

We use essential cookies to keep you signed in and to keep the service secure. We do not use advertising or cross-site tracking cookies.

You can control cookies through your browser settings, but disabling essential cookies may prevent you from signing in or using parts of the service.

5. Sharing and sub-processors

We do not sell your data. We share data only with the providers needed to run the service:

  • Our hosting and infrastructure provider, which stores the data that powers the service.
  • The email providers you choose to connect, which process and deliver the mail you send.

We may disclose information if required to do so by law, or to protect the rights, safety and security of AiOOutreach and its users.

6. Data retention

We keep your account, workspace and campaign data while your account is active. You can delete campaigns, leads and your entire account at any time from the dashboard.

Some records may be retained for a limited period where required by law or for legitimate security and fraud-prevention purposes.

7. Your rights

Depending on where you live, including under the GDPR and CCPA, you may have the right to access, correct, export, restrict or delete your personal data, and to object to certain processing. To exercise these rights, contact us using the details below.

Because you choose and upload the leads you email, you act as the data controller for that contact data. You are responsible for handling any data-subject requests relating to the people on your lists, and for the lawful basis on which you contact them.

8. Security

We encrypt your sending credentials at rest, serve the application over encrypted HTTPS connections, and apply reasonable technical and organizational measures to protect your data.

No method of transmission or storage is perfectly secure, so while we work hard to protect your information, we cannot guarantee absolute security.

9. International data transfers

We may process and store data in countries other than the one you live in. Where required, we rely on appropriate safeguards for any international transfer of personal data.

10. Children

AiOOutreach is a business tool intended for use by adults. It is not directed at children, and we do not knowingly collect personal data from anyone under 16.

11. Changes to this policy

We may update this Privacy Policy from time to time. Any changes will be reflected by the Last updated date above, and where the changes are material we will take reasonable steps to notify you.
